Question 1 (25 marks)

Bubble Tea is a fast-growing business that has become extremely popular among all ages especially the teens. As such, Jenny Chia is keen to take up a franchise license from a Taiwanese brand called “MeCha” . She plans to start with two retail outlets at different shopping malls. She has already opened a local Head Office at Suntec City where she has hired a few office staff and set up a retail team to manage all outlets in Singapore in the future.

In order to increase the overall operational efficiency and productivity, Jenny has just hired you as the IT manager who can help in these aspects by deploying the right IT solutions. You are helping Jenny to provide some answers to the following:

(a)     Suggest ONE (1) type of information system that can capture sales transactions and

support daily operation in the outlets. Describe THREE (3) main features of the system that can help to improve the operational efficiency.

(b)    Jenny  is looking  for an  information  system that can help her to make business

decisions. What TYPE of system would you recommend to her? Describe TWO (2) examples of data from the system that you have recommended in question 1(a) and explain how they can be used to support making decision.

(c)    As  there  are  many  competitors  also  venturing  into  Bubble  Tea  business, recommend ONE (1) type of information system that may help the company to be more competitive in the marketplace. Discuss TWO (2) benefits of implementing such a system.

(d)    Both retail outlets’ sales data needs to be transmitted back to the head office and stored on a daily basis. What are the TWO (2) key information system components required to support this function? Provide a general description for these TWO (2) components.

As more staff are being hired to support the head office operations, you are evaluating 2 notebook computers’ specification in order to decide which one would be the right choice for the company. You are presented with two computer specifications and need to do a review.

(e)     Refer to Row 1 of the computer specification table. Which model has a better CPU?

List and explain any TWO (2) factors that you would consider when making such decision.

(f)      Which row consist of the RAM specification? Explain what RAM is and describe

how it assists the performance of the CPU.

Question 2 (25 marks)

After you have helped to purchase the appropriate notebook computers for the company, your next task is to evaluate several areas that are software related. It is important to have the right software installed to assist the end users to perform daily business activities with their notebook computers.

(a)    All the notebook computers are pre-installed with Windows 10. Generally describe

a unique feature of Windows 10 and discuss THREE (3) main basic functions it provides as an operating system.

(b)     There is other software that may be useful for the company but Jenny does not

intend to purchase it right away. What kind of software would allow her to try first before buying it? Describe TWO (2) of its characteristics.

(c)     Some of the staff complained about Microsoft Edge which is a standard web browser from Windows  10. You are thinking to explore other options from the open-source software market. Provide ONE (1) example of an open-source web browser and discuss THREE (3) attributes of an open-source software.

(d)    You want to install Microsoft Office on a number of computers in the office. What type of software license is most suitable? List THREE (3) general application software that most companies would use from Microsoft Office.

(e)     Cloud Computing is very popular these days. Explain what Cloud Computing is

and provide TWO (2) examples of such solutions.

(f)      All computers in the company must be managed effectively. List any TWO (2)

system utilities that are important to be installed in each computer.

SECTION B

Question 3 (25 marks)

Case: Network for retail stores and head office

As an IT manager, you need to ensure a proper network infrastructure is in place to support  general  communications  and  business  applications  operation.  As  Jenny  is planning to open 2 retail outlets initially, it is essential you design a network that would enable the communications between the outlets and the head office. The 2 retail outlets will be opened at Lot One and JEM shopping centre respectively while the Head Office is located at Suntec City. To design the overall network, you will need to address the following:

     In addition to the information system that you suggested in Question 1(a), each

outlet will need one desktop computer and a tablet to support the retail operation.

    Each outlet will have a local server within its own local area network.                      All devices in each outlet must be connected via telecommunications processors

which will also enable the connection to the Head Office.

     The outlets need to connect to Head Office for transmitting data where there is

an Application Server to support the information system suggested in Question 1(a).

     Home connection to the Head Office is needed as some of the staff may need to

work from home due to pandemic restrictions.

(a)     Draw a simple network diagram to illustrate your proposed network infrastructure.

You should indicate (label) the computer equipment, network devices and services required clearly to show how they should be connected.

You should also indicate the use of wired or wireless connections in the diagram.  (Note: You may use MS Word Shapes to draw your diagram or insert a photo image of your hand drawn diagram for this part).

(b)      Identify the key hardware device that enables the connection to the Internet and

explain how such a device works.

(c)     Employees are working remotely from home and need to access systems at the Head Office. Identify one popular solution that could be used to connect to Head Office without compromising security. Explain how it provides secure connection to the Head Office.

(d)     What is the common protocol being used for transmitting data over the Internet? Describe THREE (3) characteristics of such a protocol.

(e)    Describe the type of network model that would make use of an Application Server

within  a network.  Identify  and  describe the most  effective type  of client form running at the outlets that connects to the application server.

Question 4 (25 marks)

Case: Retail Database Design

You have engaged a software vendor to design a database to capture both retail outlets’ essential data. The key areas of your concerns are sales records, inventory update and the sales staff involved. Such database will be hosted at the Application Server at the head office where Jenny may make use of the data for business analysis from time to time. As discussed with the software vendor, you are required to provide the following details when designing the database tables:

It is important that you think of good sample data to illustrate how the tables are related. The following are the tables you will need to construct and show in your Microsoft Word answer file.

(Do not construct the tables using Microsoft Access; use the “Insert Table” function in Microsoft Word instead.)

Sales Details Table

The purpose of this table is to record all the items purchased in each sale. The key fields  are  Sales  Record Number,  Receipt Number,  Item  Code,  Sales  Price  and Quantity. Create at least FOUR (4) records for this table by entering your own data. This table should be linked to another two tables.

(b)  Sales Receipt Table

The purpose of this table is to record the receipts’ summary of each sale. The key fields are Receipt Number, Sales Date/Time, Total Charge and Sales Staff Code. Create at least THREE (3) records for this table by entering your own data. This table should be linked to another table.

Sales Staff Table

The purpose of this table is to record the sales staff involved in each sale. The key fields are Sales Staff Code, Staff Name, Contact Number, Position Type (Part Time or Full Time) and Position (Manager or Assistant). Create at least THREE (3) records for this table by entering your own data.

(d)  Inventory Table

The purpose of this table is to record the items available for sales and indicate if promotional discount will be applied. The key fields are Item Code, Description, Sales Price, and Promotional Discount (if any). Create at least THREE (3) records for this table by entering your own data.
